15 Minutes Before Class Starts

  1. 15 minutes before class starts, find a quiet place with strong internet that is free of distractions. Remember that everyone in the class will be able to see you! Find an appropriate background and make sure the room is well-lit. Make sure that you have your device plugged in so you don’t need to worry about battery issues mid-class.
  2. Open Zoom. You can open Zoom by clicking the link your professor sends you or downloading the Zoom app or program on your device. If you have headphones, plug them in now.
  3. Test your microphone and camera.
    • To test your microphone, click “Test Computer Mic & Speakers” in the pop-up window that appears when first opening a test meeting or beginning your scheduled meeting.
    • To test your camera, just look at the Zoom window to see that you are clearly visible, non-pixellated, and can move and speak without noticeable delays
    • You may need to give Zoom permission to access your camera and microphone beforehand. Typically, the request for permission will appear in a pop-up window the first time you open a Zoom Meeting, and will carry over to future meetings. If you declined permissions in the past, you will need to go into your PC or Mac’s settings to allow Zoom to access your camera and microphone.
  4. Close any windows or programs open on your device that are unrelated to class.

During Class

  1. Click Start Video to begin broadcasting from your webcam.
  2. Use the Chat bubble as appropriate. You can chat to everyone in the meeting, just the professor, or a specific person.
  3. Find out who else is in the meeting by clicking Participants. This is also where you can “raise your hand” to ask or respond to a question.
  4. Be prepared to share your screen with the class. (If you do so, we will see all tabs you have open. We could also see your email, messages, etc. Please ensure that anything you would like to keep private is closed prior to class beginning.)

The Zoom Menu

The Zoom menu contains several features that can be used at any time throughout class meetings. For laptops, PCs, and Macs the menu can be found by hovering over the bottom of the Zoom window. In the Zoom app, the menu can be accessed by tapping the bottom of the app window. Here is a picture of the menu bar.

Zoom Menu Bar Image Example
  • Mute: Silences and unsilences your microphone. Your professor will “Mute” the whole class to reduce background noises, but if you’d like to speak, you need to click “Unmute” first.
  • Share Screen: Allows you to share a variety of windows and applications. Participants can share views of their desktops and specific windows currently open on their computer, write on a digital whiteboard, and even share a screen directly from their iPhone or iPad.
  • Chat: You can send messages to everyone, just the professor, or a specific person.

General Zoom Etiquette

  • Getting clear video is a lot like taking a good selfie. Light your face more brightly than the background to make it easier to see you.
  • Remember that everyone else can see you!
  • Be yourself. Move physically and make facial expressions.
  • Microphones pick up all ambient noise, so keep your mic muted until it’s your time to speak.
  • Remember that when on-camera, other activities such as eating, drinking, shuffling papers, etc are extremely distracting.

close
Logging In

To access the FDU Xmedius Fax server you can visit efax.fdu.edu or click the “Click here to access your fax” link provided in the fax notification email (The efax website is only accessible if you are located on-campus or connected to the FDU VPN). Once loaded in your web browser you will be prompted for a username and password. Please enter your full FDU NetID and password.

close
Accessing Faxes

Once authenticated you will see all of your incoming faxes (Unread faxes will appear in bold type).

Note:

If you receive faxes on more than one campus they will all be shown in your Inbound History.

  1. To view a fax simply move your mouse to the fax you want to view. The fax will turn yellow as your mouse hovers over it, click it
  1. The fax will automatically open to the Fax tab showing the incoming fax
close
Printing Faxes

Users can print a fax to a local or networked printer, and can send a document to Perceptive Content by printing to the Perceptive Content printer. Below are the steps necessary to print a fax.

  1. First, find the fax to be printed by scrolling over it with your cursor until the fax is highlighted yellow, then click on it
  2. Once the fax is opened, locate the Download icon on the top left side of the screen, and click to download

Note

This will not actually download the file to your computer.

  1. A new browser screen will open and the fax to be printed will appear
  1. Right click your mouse from anywhere on the page, and a second panel will be presented. Hover your cursor over the word Print, and left-click your mouse
  1. Next to Destination, select the printer you wish to send the fax to, or the Perceptive Content Driver if you wish to move the fax to Perceptive Content. Then click on the Print icon at the bottom of the screen
close
Managing Faxes through Notes

Faxes can be stored in both the current Folder view and the Deleted Folder view. You can move faxes between the folders by clicking the Delete button from the Current view or the Restore button from the Delete view. To delete a fax from the portal, click on the Delete button while fax is in the Delete view.

If faxes need to be stored and retrieved over a period of time, the number of faxes that might appear in either the Current or Deleted view could build up, and retrieving a fax could prove difficult. Using the Notes capability will make searching for archived faxes much easier. The Notes and search functions work in both the Current View and Deleted view.

  1. In the portal, open the fax you wish to Note
  1. Then click on the Note button
  1. Start typing your note. You will notice a warning appear immediately letting you know the Note has not been saved yet. You can use multiple lines, and best practice would be to put a unique data point on each line. In the example below, Student Name, Datatel ID, the purpose of the fax, and the document type appear on separate lines
  1. When done adding the Note, click Save at the bottom of the screen
  1. To search for a particular fax, or series of faxes, from the Current or Deleted view of the portal, type in the search criteria in the bar to the left of the search button, and then click the Search button. All faxes that meet that criteria will then appear.

Note

From the example above, that if the search was for W-2’s, all faxes that contain W-2 would appear. If the search was for a Datatel ID, all documents received with that Datatel ID would appear. It is strongly suggested that departments standardize on how to use the Note area prior to implementing the eFax solution.

Managing Faxes through the Event Log

From time to time, it might be important to know more details about a particular fax, like who received it, who viewed it, who printed it or notated it. All that information, for each fax, can be found in the Event Log.

To view the event log from within a fax, simply click the Event Log tab.

The event log will provide details of every action taken upon that Fax. Those actions include:

  • Routed to User – The Fax appears in that person’s portal
  • Email Notification – An auto- generated email was sent to that person
  • Fax Viewed – The fax was opened by a specific user (if several people are assigned to retrieve faxes, you can see who viewed the fax and at what date and time)
  • Fax Downloaded – who downloaded the Fax for Printing
  • Fax Deleted – Who moved the fax from Current View to Deleted View
  • Note Saved – Who added a Note to the Fax

All this information can be very useful in a department where several individuals are responsible for managing and disseminating faxes.

Composing a Fax

From the eFax portal, users can send faxes with cover sheets and attachments. Below are the steps to compose and send a fax.

  1. First, click on the Compose Fax icon colored blue
  1. Enter in the recipient’s information, including Fax Number starting with a 3. If you are faxing within FDU, you only need to use the four-digit fax extension. If the Fax is going to more than one fax machine, click on More Recipients
  1. Add the additional recipients’ information, and click Add. Type in a Subject for the fax, and any comments needed for the cover sheet. If a document needs to be attached, click on the Choose File icon at the bottom left of the screen, and choose the file you wish to attach. It is recommended that files be converted to .PDF if at all possible
  1. When complete, the file name will appear next to Choose File. You can repeat for as many files as needed. When you are ready, click the Preview button to review the appearance of your fax
  1. From here, you can view all the pages of your fax. If you are not satisfied with your fax, click the back button to go to the Compose screen, and click the Choose File button to either remove or re-attach a file. When ready, click Submit
  1. If successful, a Fax Submitted message will appear. There will be an opportunity to add the recipient to your xFax contact list if they are a frequent user. Click OK
  1. You will then see the fax in your Outbound Queue, in a Sending Status
  1. Finally, the fax information will be moved to the Outbound History File
  • Once the transmission has been completed, an email will be sent to the user confirming successful receipt of the fax by the receiving fax machine
close
Deleting Faxes
  • Users have the ability to remove faxes from their Inbound History by checking the box next to the fax they want to delete then clicking the Delete button
  • Once deleted, faxes are visible by clicking the Deleted folder view
  • Users will then have the ability to restore the fax to their Inbound History by clicking the Restore button. Alternately, faxes can be permanently deleted by pressing the Delete button. A final confirmation screen will be shown before permanently deleting fax
close
Centralize Portal Option

Each member of the Fax group in which you are the owner manages faxes within their own portal. In other words, if there are 5 employees (including yourself) that can access your fax #, each of you receive all the faxes sent to that # individually, and manage those faxes independently.

However, if you desire a Centralize portal, where there is one view, one fax, and, for example, if you delete a fax, it’s removed from view for all members of that group.

  1. Individually Managed Faxes: Still available to view if necessary
  2. Shared Centralized eFax Box: Users with the option to have the ability to manage the faxes for all individuals setup in the shared option. For Example: When deleting a fax it removes it from all the users setup to have access to this particular fax line.

Interactive Zoom Room

Resources for:
icon Close

The Interactive Television (ITV) classrooms are located in Dickinson Hall 2245 (Metropolitan Campus), Dickinson Hall 1132 (Metropolitan Campus), Muscarelle 105 (Metropolitan Campus), Giovatto Library (Metropolitan Campus), Cybercrime area Dickinson Hall 2269 (Conference room) and 2270 (Lab) (Metropolitan Campus), Dreyfuss 214 (Florham Campus), Sarah Sullivan (Florham Campus), Moninger 105, Moninger 107, Moninger 119 (Florham Campus) and School of Pharmacy 104 and 208 and FDU Vancouver. The ITV rooms can be used for conducting inter-campus classes, classes with students at remote locations equipped with ITV, inter-campus meetings, or meetings and events with other colleges, universities, or organizations equipped with ITV. The ITV rooms can be scheduled by an authorized officer of a group or organization on campus for conducting official University business. Scheduling is on a first-come, first serve basis, with the exception that priority is always given to classes using the ITV room.

For reservations, please contact the Fairleigh Dickinson University Technical Assistance Center (UTAC). For instructions on how to use ITV, refer to the resources below:

ITV Meeting Policies

This policy pertains only to the ITV rooms managed by the Office of Academic Technology (on the Metro campus DH 2245 and DH 1132, and in Florham Dreyfuss 214, Sarah Sullivan, Moninger 105, Moninger 107, and Moninger 119). For policies pertaining to other rooms, please contact the individuals responsible for the relevant rooms.

Ending your meeting on time

Please be sensitive to the fact that other meetings are often scheduled immediately after the end of yours, and the participants in these meetings also have busy schedules and important business to discuss. Even when there is no meeting scheduled after yours, our employees must properly close the room and shut down the equipment and therefore must wait for you to finish before they can move on to other activities. Therefore, when your meeting time has come to an end, you must vacate the room. Individuals or groups that fail to vacate the room in a timely fashion more than two times will not be allowed to book the ITV room for future meetings.

Cancellation Policy

Please let us know as soon as possible if you must cancel a meeting, but at least 24 hours prior to your meeting. Individuals who cancel more than two meetings without notifying the Office of Academic Technology will not be allowed to book the ITV room for future meetings.

Meeting Conflicts

Meetings are usually scheduled solely on a first-come, first-served basis. If somebody else has booked a meeting when you need the ITV room, you must negotiate with the host of the conflicting meeting. The Office of Academic Technology will not intervene.

ITV priority for DH 2245

DH 2245 is also available for scheduling non-ITV meetings or events. However, if ITV capability is needed at the same time, you will be asked to find another room. The rationale for this policy is that there are many other non-ITV rooms, but only two ITV rooms on the Metropolitan campus.

Scheduling Meetings

No meetings will be scheduled for ITV until after the ITV course schedule for that semester has been finalized. You may request your meeting in advance, but if a class ends up being scheduled at the same time as your meeting you will need to reschedule your meeting. Classes always get first priority for the ITV schedule.

Inter-campus meetings

If you are scheduling an inter-campus meeting between the College at Florham and the Metropolitan Campus, you must request the ITV at least 24 hours prior to your meeting. This lead time is necessary in order for the Office of Academic Technology to allocate appropriate personnel to the ITV room. You may schedule such meetings by contacting the Fairleigh Dickinson University Technical Assistance Center (UTAC).

ITV Classrooms

Food & Drink Policy

The ITV classrooms contain sensitive and expensive equipment that could easily be damaged by spilled drinks or contamination by food particles. Also, the rooms do not receive regularly scheduled janitorial service. For these reasons: No food or drink is allowed under any circumstances in the ITV classrooms. Sealed containers are allowed provided that the container is not opened at any time while in the ITV classroom. If you are observed with food or drink you will be asked to remove this item from the ITV classroom.

Instructors are asked to enforce the no food or drink policy with the students in their classes, if members of a given class repeatedly viola this policy, the instructor will not be permitted to schedule the ITV classroom for future classes.

DH 2245 is configured differently and has different equipment, and as such food will be allowed in DH 2245. Any buffet set-up should be done in the adjoining kitchen area. Please ensure that all guests or meeting attendees exercise care with the food and keep the food in the table area.

ITV Class Policies

ITV Classrooms Procedures for semester-long courses

For policies pertaining to other rooms, please contact the individuals responsible for the relevant rooms

Proposing a course for ITV delivery

Instructors, Chairs, or Directors may propose a course for ITV delivery after receiving approval from the relevant Chair, Director, or Dean. ITV courses are proposed at least one full semester in advance of the start date for the course.

Requesting the ITV rooms for a course
To request the ITV rooms, contact the Fairleigh Dickinson University Technical Assistance Center (UTAC).

Training Policy

No instructor may be scheduled to teach in the ITV room unless he or she attends training on using the sophisticated ITV equipment. Training should be scheduled as soon as possible after the instructor is identified, preferably a month prior to the start date of the course. To arrange for training, please contact the Fairleigh Dickinson University Technical Assistance Center (UTAC).

Cancellation Policy

If you must cancel a class, please let the Office of Academic Technology know as soon as possible and at least one full business day prior to your class. Instructors who cancel more than two class sessions without notifying the Office of Academic Technology will not be allowed to book the ITV room for future courses.

Legacy Authentication

Resources for:
icon Close

Legacy Authentication is a term Microsoft sometimes uses to describe basic authentication when used with its cloud-based services. This is in contrast with the term “modern authentication” which provides more security and capabilities.

ALERT ALERT

FDU will block legacy authentication for users on September 19, 2022.

Legacy Authentication Topics

Background

Legacy (or basic) authentication is characterized by:

  • A client or network protocol that is incapable or not configured to do modern authentication
  • A client which sends both the username and password to the application
  • An application using the username and password to get a logon token on behalf of the user

Modern authentication is characterized by:

  • a client and service capable and configured to use OpenID Connect, SAML, and/or OAuth 2.0 for authentication AND
  • a client and service which can accept redirects to the identity provider for all authentication interactions and can work with authentication tokens of the protocols above

All Microsoft cloud services are modern authentication capable.

Whether legacy or modern authentication is used is dependent on the client capabilities. To use modern authentication, you can, in many cases, update your client application or change to an alternative client application.

A list of known clients using legacy authentication is available. Transitioning from legacy authentication usually requires the individual user to change the client software they are using, which may require assistance from the Fairleigh Dickinson University Technical Assistance Center (UTAC).

Protection with two-factor authentication (2FA)

Legacy authentication can not be protected by 2FA. Because the password is known to the application accessed via legacy authentication, it is less secure than modern authentication. If legacy authentication is not blocked for your account, 3rd party applications can ask for your credentials and have your password without you being aware they do.

Transition from legacy authentication

For the typical user, the complexity of determining whether you are using legacy authentication is significant. If you are using one of the client applications that does not use modern authentication protocols (see section below for a list of known clients using legacy authentication), you should replace them. If you don’t have one of these client applications but still suspect you have legacy authentication, contact the Fairleigh Dickinson University Technical Assistance Center (UTAC) for assistance.

How Do I Address My Use of Legacy Authentication

In most cases, users will need to do one or more of the following:

  • Update their application to a version that supports modern authentication protocols
  • Upgrade to the latest version of their phone operating system
  • Remove and re-add their FDU account in the configuration of their iOS or macOS application so it will use modern authentication protocols

All three of these actions are informed by the list of known insecure client apps. FDU IT doesn’t know your devices like you do, nor do we manage which client applications you use, so only you can identify where action needs to be taken.

If you don’t seem to have one of the insecure client applications but still suspect you have legacy authentication, For the typical user, the complexity of determining whether you are using legacy authentication is significant. List of Known Clients Using Legacy Authentication

This list is not intended to be comprehensive; it is only a list of known client applications. If you have one which should be added, please let us know.

Client AppFDU IT RecommendationNotes
Outlook 2010 or earlierReplace with one of the supported email clients
Outlook 2013 without special settings enabledReplace with one of the supported email clientsAlternate resolution (not supported by FDU-IT): Enable Modern authentication for Office 2013 on Windows devices – Microsoft 365 admin | Microsoft Docs
Mail or Calendar on iOS11 or newerReplace with one of the supported email clientsAlternate resolution (not supported by FDU-IT): Remove FDU account on device, then re-add FDU account.

These apps now support modern authentication, but that support was only recently added and any account setup previously is “stuck” in legacy authentication. You’ll need to delete the account and set it back up fresh to get modern authentication. Apple plans to release an update which automatically fixes this.

Known Problem: Your Email Access Has Been Blocked

You may see an email in your FDU inbox like this:

While the email message says it was sent by your IT department, it was not. This email message wasn’t actually sent–it only exists on your mobile device and was created to alert you to the fact that your client application can’t sign into your account. Your email access has not been blocked–it is only that this client application is broken. You can verify for yourself that your email access was not blocked by going to Outlook on the Web. And the reason the client application is broken is because it can only do legacy authentication OR it only has cached credentials which are based on legacy authentication.

How Do You Know if You Will Be Impacted?

There are several ways to determine if you’re using Basic authentication or Modern authentication. If you’re using Basic authentication, you can determine where it’s coming from and what to do about it.

Authentication dialog

A simple way to tell if a client app (for example, Outlook) is using Basic authentication or Modern authentication is to observe the dialog that’s presented when the user logs in.

Modern authentication displays a web-based login page:

Basic authentication presents a dialog credential modal box:

On a mobile device, you’ll see a similar web-based page when you authenticate if the device is trying to connect using Modern authentication.

You can also check the connection status dialog box, by “CTRL + right-clicking” the Outlook icon in the system tray, and choosing Connection Status.

When using Basic authentication, the “Authn” column in the “Outlook Connection Status” dialog shows the value of “Clear“.

Once you switch to Modern authentication, the “Authn” column in the Outlook Connection Status dialog shows the value of “Bearer“.
